This privacy and cookie statement relates to personal data processed by Robin Radar Systems. During the processing of personal data, we conform to the requirements of the applicable data protection legislation, like the General Data Protection Regulation. This means we:

For what purposes do we use your personal data?

You can contact us in various ways and ask us questions or make requests. You are also welcome to provide us with your feedback at any time. This can be done by phone, via a contact form, or by email. In order to answer your questions or respond to requests, we process your personal data based on the performance of a contract.

For this purpose, we process the following personal data from you:

• first and last name;
• email address;
• company/organisation;
• country;
• market;
• job title (optional);
• phone number (optional);
• any personal data that you fill in the message yourself.

We keep this data for as long as necessary, based on the nature of the form or the content of the email or message. For the complete answering and handling, the correct registration of your data is necessary.

Newsletter
We have a newsletter, and you will only be added to the list of subscribers with your permission or when you have already bought a product from us. We send a newsletter with interesting topics about our products. You can sign up for our newsletter on our website. We process this data based on consent.

For this, we use the following data:

• first and last name;
• email address.

We will keep this information as long as you are subscribed to our newsletter. You can unsubscribe from our newsletter at any time via the unsubscribe link included in every newsletter. When you withdraw your consent, we will immediately delete your data for this purpose.

Visiting our office

Office Appointments
When you visit our office, you will need to make an appointment first. For this appointment, we process personal data based on your consent.

For this, we use the following data:

We will keep this information for the duration of two (2) years.

Camera Surveillance
When you visit our office, we record video footage via camera surveillance based on our legitimate interest in ensuring the safety of our visitors and employees, as well as protecting our property.

For this purpose, we use the following data:

We keep camera footage for a maximum of of one (1) month, unless a legitimate interest (such as an ongoing investigation) requires us to keeping it longer.

Quotes
You can request a quote through our website. We process personal data for this purpose based on the performance of a contract.

For this, we process the following data:

• first and last name;
• company name;
• email address;
• phone number.

We keep this data for six (6) months after the quote has been sent.

Applying for a Job
You can apply for a job at Robin Radar Systems via our website and careers portal. You can submit your application directly, or leave your contact information so we can get in touch to schedule an introduction. We process personal data for this purpose based on taking steps prior to entering into a contract.

For this purpose, we process the following personal data:

• Name and Surname;
• Email;
• Phone Number;
• Location (country);
• CV and the information contained therein;
• Information from the cover letter.

This data is necessary so we can contact you regarding your application and assess your suitability for the role.

If you are not selected for the position, we will retain your application data for a maximum of four (4) weeks after the selection procedure ends. This allows us to contact you if the position becomes available again within probation period.

With your explicit consent, we may retain your application data longer if suitable positions might open up in the future. In that case, we will store your data for up to one (1) year. Prior to the expiration of this period, we may ask for your renewed consent to keep your details for an additional period of one (1) year. You may withdraw your consent at any time by contacting us via email.

If you get hired, your application data will become part of your personnel file.

Pre-Employment Screening
As part of our recruitment process, we conduct a pre-employment screening based on our legitimate interest to ensure organisational security and role suitability. This screening may be carried out by a specialized third-party service provider acting on our behalf. ReCAPTCHA
Robin Radar Systems uses the reCAPTCHA service of Google Inc. (Google) to protect the website of Robin Radar Systems against spam and abuse. In order for Google reCAPTCHA to work, the IP address of a website visitor, mouse movements and possibly other data are collected by Google. This personal data is sent to and processed by Google for this purpose. By analysing this personal data, Google can determine whether Robin Radar Systems is dealing with a real website visitor or a robot. For more information, please see Google’s privacy statement.

Providing personal data to third parties
We only share your personal data with third parties when permitted by current legislation. We may provide your personal data to third parties because we have engaged them to process certain data in the following instances:

To deliver our services, maintain and optimize our website, and execute our business and recruitment operations, we share personal data with external providers (acting as processors or independent controllers). We share personal data with the following categories of service providers:

• Customer Relationship Management (CRM) & Marketing Automation: We use platforms such as HubSpot to manage customer interactions, leads, email marketing communications, and contact form submissions.

• Advertising, Marketing & Social Media Networks: We share cookie data and user interactions with advertising platforms and social media networks including Google Ads, Meta (Facebook and Instagram), and LinkedIn to deliver targeted marketing campaigns, measure conversion performance, and build relevant audience profiles.
• Pre-Employment Screening Vendors: We collaborate with specialized background checking partners (such as Validata Group) to conduct pre-employment verification and screening for prospective hires.
• IT, Cloud Infrastructure & Communication Providers: We engage external IT service providers, cloud hosting services, and email / security tool providers (such as Google reCAPTCHA) to host our digital infrastructure, ensure cybersecurity, and manage daily communications.

International Transfers Outside the EEA
Some of our service providers (such as HubSpot, Google, Meta, or LinkedIn) are headquartered or process data in countries outside the European Economic Area (“EEA”), including the United States. In such cases, we ensure that appropriate safeguards are in place in accordance with Chapter V of the GDPR:

• The recipient country has been granted an adequacy decision by the European Commission (e.g., certification under the EU-U.S. Data Privacy Framework).
• We have executed EU Standard Contractual Clauses (SCCs) approved by law (such as your explicit consent for non-essential cookies).

Third- Party Website and Services
This privacy and cookie statement applies only to the processing of personal data by Robin Radar Systems. It does not apply to websites, services, or platforms of third parties that can be accessed via links on our website. Once personal data is shared with or accessed by third parties, those parties’ own privacy statements govern how they handle that data, and Robin Radar Systems is not responsible for their privacy practices. We recommend reading the privacy statements of those third parties.

Screening
In order to verify whether (potential) suppliers and customers appear on national or international sanctions lists, for example those related to terrorism financing, money laundering, or economic sanctions, we may process their personal data.

This screening is based on our legitimate interest (Article 6(1)(f) GDPR) in mitigating risks in our business relationships, complying with applicable laws and regulations, and preventing reputational and integrity-related harm. In doing so, we have carefully balanced our interests against the rights and freedoms of the individuals concerned.

The personal data that may be processed for this screening includes the contact name, company name, and business address of (potential) suppliers and customers. It will be noted that this will never include a private address or other personal information.

The processing is carried out using an external screening database. In accordance with the GDPR, we only consult providers that offer appropriate safeguards.

As outlined in Articles 21 and 15 of the GDPR, data subjects have the right to object to the processing of their data and to request access to the data processed about them.

On our website, we use cookies and similar technologies, such as pixels (hereinafter collectively referred to as 'cookies') from ourselves and third parties.
